🧠 How to Create an AI Summary of a Teams Meeting Transcription with Copilot

Microsoft Copilot makes it easy to turn lengthy Teams meeting transcriptions into concise, actionable summaries. Whether you're catching up on missed meetings or organizing notes for your team, Copilot can help you extract key insights in seconds.

âś… Prerequisites

Before you begin, make sure you have:

  • Access to Microsoft Copilot (via Microsoft 365 or the Copilot app)
  • A saved Teams meeting transcription (usually available in Microsoft Teams or OneDrive)
  • The transcription file in a readable format (e.g., .docx, .txt, or .pdf)

🚀 Step-by-Step Guide

1. Locate Your Meeting Transcription

  • Open Microsoft Teams and go to the meeting chat or calendar event.
  • Find the transcription under the “Recordings & Transcripts” tab.
  • Download or copy the transcript to your device.

2. Open Copilot

  • Launch Copilot from your desktop, mobile app, or browser.
  • Make sure you're signed in with the same Microsoft account used for Teams.

3. Upload or Paste the Transcript

You have two options:

  • Upload the file: Drag and drop the transcription file into the Copilot chat.
  • Paste the text: Copy the transcript and paste it directly into the chat window.

4. Ask Copilot to Summarize

Use a clear prompt like:

“Summarize this Teams meeting transcript into key points and action items.”

You can also customize your request:

  • “Highlight decisions made and follow-up tasks.”
  • “Create a summary for the marketing team.”
  • “Extract discussion topics and who said what.”

5. Review and Refine

Copilot will generate a summary that includes:

  • Main discussion points
  • Decisions and outcomes
  • Assigned tasks or follow-ups
  • Optional: timestamps or speaker names (if available)

You can ask Copilot to:

  • Reformat the summary (e.g., bullet points, paragraphs)
  • Translate it into another language
  • Create a shareable version for email or Teams

đź’ˇ Tips for Better Summaries

  • Use transcripts with speaker labels for more accurate attribution.
  • Ask Copilot to focus on specific topics if the meeting covered multiple areas.
